What are the different statuses of a collection or recovery file?

🎯 STATUSES

The statutes allow the creditor to simplify the lettering process and maintain a clear record of the file's progress. This provides a more transparent and sound management of correspondence related to the file.

🎯UPDATE A STATUS

The update of a status offers two distinct modalities :

✔In a first case, the creditor can perform this update directly from the dashboard.

✔In a second case, our operators are authorised to carry out the update, accompanied by supporting documentation.

📌An internal note is recorded, made visible on the client’s dashboard to ensure full traceability of actions and facilitate understanding of the case.

Any change of status is accompanied by an email to the debtor indicating the suspension, cancellation or closure of any action against him.

⚡SUB-STATUSES

Notes and sub-labels are added to the customer’s dashboard to provide additional information on the status of the receivables.

For each collection campaign, a full report is provided to the customer at the end of each amicable phase. In addition, an advanced statistics table containing collection rates on the batch in question is provided to the debtor. This can be downloaded directly from the customer's dashboard.

🎯DIFFERENT STATUSES

In progress

  • Notifications continue to be sent. The debtor can contact the lawyer by various means for information about the debt, make a payment or discuss a schedule.

Completed

  • All four notifications through various channels were sent.
  • Negotiations and communications remain open.
  • Payment links remain available.
  • The steps continue with campaigns of calls and solicitations towards debtors, while proposing amicable solutions.

Recovered

  • In case of payment held by the creditor, the reminders stop immediately. Payments are made via the payment link whose funds are transmitted to Respaid or directly into the hands of the creditor.
  • The information of the settlement of the debt is transmitted to the creditor.
  • A closing email is sent.

⚡Sub-statuses

  • Payment via Respaid - The process ends automatically without the need for supporting documents. - Lettering updated automatically. - Generation of a payment receipt to the debtor.
  • Payment directly to the creditor - Direct settlement of the debt to the creditor with proof. If the proof is valid, the file changes to "Recovered" - substatus"Paid to creditor".
  • Installment via Respaid in case of financial difficulties. - The installment is conditioned by the payment of the first monthly payment via the specific link.
  • Multiple destination - Debt partially paid by the debtor to the creditor. - Balance paid later via the payment link or in the hands of the creditor.

Cancelled

The cancellation of the case leads to the cessation of notifications, and therefore, the proceedings are cancelled.

⚡Sub-statuses

  • Already paid - Debt settled with proof from the debtor or confirmation from the creditor.
  • In duplicate - If the creditor submits a claim with identical data to a previously processed one (same email, same invoice number, same amount), the system rejects the new request.
  • Unknown reason Contract terminated (with a termination date prior to the invoice date) / Debtor refuses to cooperate.

Partial recovery

  • A portion of the debt has been settled, supported by documentation.

Disputed

  • Receipt of a written, well-argued objection from the debtor, automatically stopping the reminders.
  • The dispute of the debt can only be made once; the debtor has the right to dispute the amount due only once.

⚡Sub-statuses

  • Refuses to pay Debtor's claim contesting the debt with supporting documents.
  • Incorrect identity The person concerned, as debtor, confirms that the telephone number and e-mail address do not belong to him/her.
  • Waiting for creditor response The procedures are put on hold for a period of 5 days pending receipt of the proof. Once Respaid has received this document, the study may send it to the debtor in order to close the proceedings against him
  • Insolvent In case of possession of proof of insolvency or over-indebtedness by the file managers or the creditor himself/herself, the reminders stop immediately.
